In November 2010, ICSolutions was acquired by TKC Holdings, LLC, the parent company of Keefe Commissary Network and Keefe Supply Company, the nation’s largest commissary provider. The TKC Holdings companies bring a tremendous depth to ICSolutions’ operations and provide strategic financial resources as well as synergistic supply-chain relationships.

Problem Statement

TKC Holdings, Inc is the largest provider of food service and secure product delivery to the Corrections, Hotel, and Accommodations industries in the US.

They specialize in leading distinctive market segments by offering superior products and unmatched customer service.

Existing Problems

A document uploading and downloading was a tedious and time-consuming process as documents could not be bulk downloaded.

The documents could not get managed or accessed as there were no folder management options. Also, once documents uploaded cannot be moved to another location.

It was a costly process which included third-party application with annual subscription.

As the third-party application was based on user count, only limited number of users where able to access DMS solution.

Searching for document was tedious as there was no functionality to search for document pertaining to records or related records.

Amtex Solution

During the Free Assessment, Amtex learned that the Customer was already utilising a commercial AppExchange software, PostgreSQL, and Rackspace for document management. Amtex recommended developing a new app leveraging features built into Salesforce, Heroku, and the already-installed PostgreSQL and Rackspace.

Amtex used APIs and a composite app to design a quick and safe document upload solution with folder management features and secure access to various folders and documents.

01 Pre-built interface on Salesforce

Forms are available as dropdown selections with pre-built Values from that Opportunity record. All fields are auto populated for an Object. Salesforce User receives a Notification once the Item is created in SharePoint.

02Automation Templates

Eliminated human intervention in populating fields. New Items with Sales force pre-populated Values is created in SharePoint.

03Editor Within

User doesn’t need to remember any field. All forms can be saved and edited from the Sales force interface itself. Integrating this solution in Salesforce made the process smooth and fast. Moreover, on clicking “SharePoint” button, user will be redirected to Share- Point and will be able to edit the Item.

Automation
The company's business found it to be a very expensive and insecure process to store any documents connected to accounts or opportunities in a third-party storage. Furthermore, there was no way to modify the document's folder structure or manage who might view it. Bulk downloading papers of any size took a lengthy time, which slowed down processing and made it difficult to retrieve the needed document when it was needed
Scalability
The solution could be modified to accommodate additional functionality using the composite app, such as document uploading, downloading in bulk, updating, and deletion.
Cost Effective
Amtex was able to lower operating costs by ceasing to use third-party applications and developing a customized solution.
Secure Application
Secure document management was made possible by offering folder management choices and security settings embedded into Salesforce. Documents are encrypted and decrypted as they are uploaded to keep the document's content a secret.
Faster Operation
Document processing took a lot fewer time thanks to the availability of Heroku and API for seamless integration and data mobility.
Greater ROI
TKC saw a higher return on investment from their Salesforce investment as a result of improved product adoption and quicker deal closures.

Amtex used A highly customized, streamlined and onestop solution for document uploading solution. An all-in-one tool for safely uploading, downloading, and downloading large quantities of zip-formatted documents empowered with an authorization-restricting secure folder management system.

To make it more secure version control is provided in a time-efficient manner if several documents are uploaded.
